Reporting to the Office Manager, the key responsibilities for this position will include, but are not limited to, the following:
- General reception duties;
- Receiving and reviewing incoming correspondence, telephone calls, or other requests from residents, guests, the professional community, suppliers, colleagues, etc.;
- Directing incoming inquiries and issues to the appropriate party in a timely manner;
- Providing a friendly greeting to residents and visitors; providing assistance to residents, as needed;
- Ensuring the café is neat, tidy, and adequately stocked at all times; removing dishes from café, as needed;
- Providing assistance with meal service, as needed;
- Marketing duties will include, but are not limited to, directing incoming prospect inquiries to the appropriate person, utilizing proper forms to accurately capture initial prospect information, and conducting tours from time to time;
- Coordinating income and outgoing mail;
- Tasks related to operating and maintaining office machines, such as copiers, fax machines, etc.;
- Completing other administrative tasks and projects, as assigned.
The key qualifications for this position will include, but are not limited to, the following:
- Successful completion of secondary school or equivalent is an asset;
- Excellent communication skills;
- The ability to interpret policies, procedures, manuals, instructions, and other related materials;
- Must have a mathematical aptitude;
- Strong computer skills, including the ability to conduct your work on a computer utilizing Microsoft Office programs;
- Working knowledge of relevant office machines;
- Multi-line phone systems experience an asset;
- Must be able to anticipate problems and use sound judgment and tact in handling confidential matters, screening telephone calls and visitors, and scheduling time;
- Excellent organization skills;
- Must have a positive and caring attitude and an aptitude for working with seniors;
- Must provide police check including vulnerable sector search;
- Must undergo a two-step Mantoux TB test and provide documentation of such.
